Getting started

Choosing a product and going live.

Can we start with just one product?

Yes. Each product is a complete system on its own. Most schools start with one and switch others on later, and nothing you set up has to be redone.

Do we need Skoolbeez SSO to run the other products?

No. Every product has its own login. SSO replaces those with one account for staff, students and parents, and it is the simplest way to run several products at once.

What happens when we add a second product?

The two read from the same student record. Identity, class and guardian details are already there, so setup is a matter of choosing which staff get access.

How long does a rollout take?

A single product on a school of under a thousand students is usually live within three weeks: one week to import, one to configure, one to train. Adding a second product to a school already on Skoolbeez is a matter of days.

Can we trial it before we commit?

Yes. A pilot runs on your own data with a small group of staff, for one term, at no cost. Anything entered during the pilot carries over if you continue.

What do you need from us to start?

A student list, a staff list and your class structure. A spreadsheet export is fine. We do the mapping and come back with a draft for you to check.

Who owns the data we put in?

The school does, always. We process it on the school's instructions and return or delete it when a licence ends.

Products and features

What each cell of the comb does, and what it does not.

Can one school run several products at once?

Yes, and most do eventually. They read from the same student record, so a name typed into one product is already correct in the next.

Is there a mobile app for parents?

Kinder and Elite ship parent apps for iOS and Android. The other products send to parents by email and messaging rather than asking them to install anything.

Does Skoolbeez handle timetabling?

Elite includes multi-campus timetabling. Prime covers period attendance against a timetable you import rather than generating one.

What is Skoolbeez AIEIS?

The engine inside every product. It reads the shared student record and turns it into early warnings, plain summaries and answers to questions staff ask in their own words.

Can we ask for a feature we need?

Yes. Requests from schools drive most of the roadmap. If a request is specific to one school we will say so, and quote it separately rather than shipping it to everyone.

Do you integrate with the systems we already run?

There is an import for the common spreadsheet formats and an API for everything else. Tell us what you run and we will tell you honestly whether it is a fit.

Single sign-on and accounts

When is Skoolbeez Campus available?

Campus is in development. Pilot places are open for the next intake, and the screens shown here are the current design preview.

Does government reporting come as standard?

Skoolbeez Prime ships with the attendance, exam and discipline reports government schools are asked for, and report formats are configured per country. Other products feed their data into the same reporting view.

Can staff keep their existing school email accounts?

Yes. SSO works with the addresses your staff already use, including Google Workspace and Microsoft 365 accounts.

What happens when a teacher leaves?

One sign-out removes access to every product at once, and the record of what they did stays with the school.

Is two-factor sign-in available?

Yes, and it can be required per role, for example finance and admin staff only.

Pricing and licences

How it is priced, and what changes the number.

How does pricing work?

Per product, priced on student numbers. Contact sales with your enrolment and the products you are considering for a quote.

Is there a minimum contract?

One academic year. Schools that add a product mid-year are only billed for the remaining terms.

Do you charge per teacher or per student?

Per student, per product. Staff accounts are unlimited, because a system nobody logs into is worth nothing.

Are there discounts for running several products?

Yes. The more of the comb a school runs, the lower the per-student rate on each cell.

What is included in support?

Onboarding, training sessions and support during school hours in your own timezone. There is no separate support tier to buy.

Data, privacy and security

Where the data lives and who can reach it.

Where is our data hosted?

In the region the school chooses, and it is not moved without telling you first.

Which data protection law applies?

Whichever applies where the school operates. The privacy notice is written to sit alongside it, and names the PDPA and the GDPR as worked examples.

Can parents ask what you hold about their child?

They ask the school, which can see everything we hold and can raise any request with us on the family's behalf.

How often do you back up?

Continuously, with point-in-time restore for the last 30 days. Restores are tested, not assumed.

What happens if we leave?

You get a full export in an open format, and the records are returned or deleted within 60 days at the school's choice.

Support and training

Who you talk to once you are live.

What are your support hours?

School hours in the school's own timezone, with an out-of-hours channel for anything that stops sign-in or attendance.

Do you train our staff?

Yes, in the staff room before every rollout, and again at the start of each academic year for new staff.

Is there documentation we can read on our own?

Yes, per product, written for the person doing the job rather than for an administrator.

How do we report a bug?

From inside the product, which attaches the context automatically. Anything that blocks a class is picked up the same day.
